Managed IT
How to choose a managed IT provider: 8 questions to ask
Choosing an IT provider is a bit like choosing a doctor: by the time you find out they're not a good fit, you're usually already in trouble. Here are eight questions worth asking before you sign anything.
1. What happens when something breaks after hours?
"24/7" means different things to different providers. Ask what's actually monitored around the clock, what counts as an emergency, and how quickly someone responds at 2 a.m. on a Sunday.
2. Who will I actually talk to?
Some providers route every call through a large call center. Others give you a small team that knows your setup. Neither is wrong, but know which one you're getting.
3. Do you come on-site?
Most issues are best fixed remotely; it's faster. But some things need hands on hardware. Ask whether on-site visits are included or billed extra.
4. How long is the contract?
Multi-year contracts with steep cancellation fees are common in this industry. A provider confident in their service shouldn't need to lock you in.
5. What security is included, and what costs extra?
Look for the basics: two-step sign-in management, security updates, modern endpoint protection, email filtering and backups. Ask what's in the base price and what's an upcharge.
6. How do you handle backups, and when did you last test a restore?
Every provider says they do backups. Fewer can tell you when they last proved one works.
7. What happens if we leave?
This one gets skipped, and it matters. Make sure you own your accounts, domain and data, and that the provider will hand over passwords and documentation cleanly if you part ways.
8. How will we know you're doing a good job?
Ask about regular reporting and reviews: what's been fixed, what's at risk, and what's coming up. Good IT is often invisible, so a good provider makes it visible.
A good fit feels like
